Assistant Vice President for Administration
Reporting to the Vice President for Finance and Administration, the Assistant Vice President for Administration is a re–defined position that provides strategic leadership, coordination, and oversight on critical administrative issues and initiatives that cut across multiple offices within finance and administration, while significantly impacting other areas of the college. The Assistant Vice President will play an active role in campus master planning, space management, sustainability planning, emergency management planning, and management productivity initiatives. In addition, the Assistant Vice President will directly supervise the Office of Contract Management and the Office of Operational Services, including the mail center, the print shop, receiving, asset management, and fleet management.
Duties and Responsibilities
The Assistant Vice President must be committed to collaborating with key FIT stakeholders, playing a leadership role in ensuring the success of administrative initiatives that impact all areas of the college. Duties and responsibilities will include the following:
| 1 | Supervises and reviews operational services, implementing best practices and documenting current processes and systems in the areas of asset management, fleet management, mail operations, printing, and receiving. |
| 2 | Supervises the contract administration function for capital projects, for currently contracted services, and for new and on-going facilities management and minor construction-related contracts. Ensures contractor compliance with terms and conditions of existing agreements. In cooperation with the Purchasing Office, ensures the timely issuance of RFP’s and other bid documents to guarantee the high quality and timely delivery of required services and products. As appropriate, coordinates with the New York State Dormitory Authority and other oversight or partner agencies in contracts affecting FIT operations or projects. |
| 3 | In cooperation with the Executive Director for Capital Projects and Facilities Management, develops and maintains a system for space planning that, at a minimum: establishes a college-wide inventory of all campus spaces, including public space, classrooms, offices, laboratories, service areas, and infrastructure; coordinates with the college’s class scheduling system and process; includes a digitized blueprint or virtual model of academic buildings and residence halls; identifies major uses, building sites, pedestrian walkways, and landscaping; and documents all attributes of spaces, including permitted occupancy and assembly information. |
| 4 | In cooperation with the Director of Security, reviews the current structure of security and safety at the college, including security staffing, technology implementation, and emergency response. |
| 5 | Assists the Vice President for Finance and Administration in the effort to revise the college’s emergency preparedness plan to be fully compliant with SUNY guidelines and standards. Responsible for the annual review and updating of the college emergency response plan. |
| 6 | Coordinates and provides leadership in sustainability efforts of the Office of Finance and Administration with a focus on energy management initiatives and sustainable construction practices. Works with utility companies to achieve best-practice performance, minimized energy and utility consumption and cost, and appropriate environmental stewardship. Works to integrate sustainability values and practices into the everyday life of the College and maintain FIT’s status as a leader in sustainability in higher education. Serves as the College’s liaison on the Mayor’s Challenge PlaNYC. |
| 7 | Works with the Vice President in the development of a productivity plan, establishing benchmarks and savings targets. In cooperation with the budget office, develops a template for determining project costs and methodologies for monitoring progress/compliance. |
Qualifications: Bachelor’s degree required; Master’s degree preferred in such areas as: Business Administration, Public Administration, or Higher Education Management. Degrees in other disciplines will be considered with the requisite senior-level experience. The candidate must have 7-10 years of progressively responsible experience with at least 4 years in management; excellent organizational, communication, negotiating, and management skills; with a demonstrated capacity to lead complex projects.
